POSITION SUMMARY
The Commercial Roofing Project Coordinator is responsible for supporting estimating and project management by coordinating all administrative and operational aspects of commercial roofing projects. This role works closely with project managers, field supervisors, contractors, vendors, and clients to ensure projects are executed efficiently, on schedule, within budget, and to quality/safety standards. The position focuses on streamlining workflows, managing documentation, facilitating communication, and handling logistics to allow field teams to concentrate on installation and quality execution.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Duties and responsibilities include but are not limited to:
- Manage administrative aspects of commercial roofing projects from estimating and pre-construction handoff through completion, including coordinating material deliveries, subcontractor scheduling, permits, inspections, and change orders.
- Review and organize project documents, drawings, specifications, contracts, and plans to ensure full understanding and compliance.
- Coordinate with vendors, suppliers, and subcontractors to source materials, obtain quotes, track orders, and resolve delivery/logistics issues.
- Prepare, track, and manage project documentation such as submittals, RFIs, purchase orders, daily logs, safety files, job folders, and closeout packages.
- Develop and maintain strong relationships with vendors, subcontractors, general contractors, and clients to support smooth project execution.
- Assist in monitoring project progress, schedules, and budgets; prepare status reports, update timelines, and flag potential delays or issues.
- Facilitate communication between office teams, field crews, clients, and stakeholders, including scheduling meetings, pre-job handoffs, kick-offs, and progress updates.
- Conduct or coordinate job site visits/inspections as needed to verify conditions, support logistics, or address administrative requirements.
- Ensure adherence to safety, quality, and production standards; support enforcement of company policies on-site.
- Handle permitting processes, tax exempt certs, coordinate inspections, and maintain records for regulatory compliance.
- Assist with estimating projects and generating required paperwork for proposals and bids.
MINIMUM QUALIFICATIONS
- Self-starting and critical thinking skills
- Proficiency in mathematics, data tracking, and basic project analysis
- Strong organizational and administrative skills with excellent attention to detail
- Documentation management, and coordination/planning abilities
- Familiarity with construction project documentation, submittals, and workflow processes
- Expertise with tools such as spreadsheets (e.g., Excel), project management software, databases, and office systems
- Ability to read and interpret technical documents, blueprints, and specifications
- Excellent written and verbal communication and interpersonal skills
- Exceptional time management, multitasking, and prioritization skills
EDUCATION AND EXPERIENCE
- Bachelor’s degree in construction management preferred, business administration, project management, or a related field; equivalent experience or training in roofing/construction administration or project coordination may be substituted.
- Experience in project coordination, administration, or support in construction, preferably in roofing or a related trade.
- Experience in commercial construction or roofing preferred.
- Fluency in English is necessary; bilingual in Spanish and English is a plus.
SUPERVISORY RESPONSIBILITIES:
No direct supervisory responsibilities, but enforces safety, quality, and production requirements through coordination and support. Assists in overseeing project administrative flow from pre-construction to completion.
PHYSICAL REQUIREMENTS
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds. The employee must be able to climb a ladder for occasional job site visits.
MATERIALS & EQUIPMENT USED
Ability to operate all general office equipment including computer, printer, copier, fax, and phones. Ability to operate and drive a vehicle for work-related travel, meetings, job site visits, and errands.
WORKING CONDITIONS
This is primarily an in-office position with occasional job site visits. While performing the duties of this job, the employee may be regularly exposed to outside weather conditions during site visits. Frequent exposure to construction environments and occasional working around moving equipment or materials.
